Program Coordinator

The Program Coordinator supports in organizing and driving programs forward, coordinating the work of all team members and preparing documentation and schedules for execution. To succeed in this role, the candidate will have excellent time management and communication skills, with the ability to collaborate with internal and external collaborators to deliver results on deadline. Ultimately, the Program Coordinator ensures that all projects and programs are completed and executed on time and meet high quality standards.

Primary Responsibilities

  1. Work closely with project managers, coaches and various team members. Coordinate across departments (Coaching/Client Services, Engineering, Marketing, Events, Operations and Sales) to drive programs forward.
  2. Together with program team, help identify and define all requirements, scope, objectives tasks and timelines.
  3. Assign tasks to collaborators and manage the project schedule.
  4. Monitor project progress and address any issues or blockers that arise, in close communication with the program manager and your supervisor.
  5. For assigned projects, act as the point of contact and communicate status to all participants on a weekly basis.
  6. Provide program support work as needed, including: sourcing samples, testing materials, and research. Interact with customers to understand project/program requirements clearly.
  7. Create and maintain comprehensive project documentation, plans and reports.
  8. Ensure standards and requirements are met through conducting quality assurance tests.

Education and/or Experience

3+ years’ experience as a Project Coordinator/Specialist or similar role.

Other Skills and Abilities

  • Must be extremely detail oriented and organized.
  • Experience in project management from conception to delivery.
  • Ability to prepare and interpret flowcharts, schedules and step-by-step action plans to report on project status and results.
  • Solid organizational skills, including multitasking and time management.
  • Strong client-facing and teamwork skills.
  • Familiarity with risk management and quality assurance control.

Language Skills

Proficient English language skills – written and spoken. Able to speak effectively and communicate clearly on the phone, in person and via email. 

Computer Skills

Strong working knowledge of Asana and other project management tools.

Planning and Organization

  • Manage multiple tasks in deadline driven environment
  • Must be organized, punctual and responsible
  • Flexible
  • Ability to work independently
