Private Events -Specialist

Summary

The Specialist– Private Events is responsible for sourcing, booking, negotiating and managing all aspects of private events for Tom Ferry. This is a heavy selling, relationship-focused, process-oriented position that possesses sensitivity in working well internally as well as handling audience facing opportunities.

Primary Responsibilities

1. Perform a high volume of outreach and research for potential speaking opportunities for our Master Trainers.
2. Create targeted strategy on Private Event Acquisition to reach revenue objective.
3. Develop and implement targeted marketing campaigns to promote the Tom Ferry portfolio of Master Trainers.
4. Develop and implement targeted plans and charts to follow speaker bureau activity across all divisions of the company
5. Prioritize and manage multiple speaker opportunities simultaneously, vetting incoming speaking requests and make recommendations on which events are worth pursuing
6. Negotiate and create all contract terms for all Private Events
7. Cater to our Tom Ferry speakers, their requests, needs, and ensure they are taken care of from start to finish.
8. Provide logistical support to our clients and our talent, including staff travel (book airline, ground transportation, and hotel arrangements) and shipping any supplies.
9. Review contracts and act as agent for speakers.
10. Serve as a liaison between the client, talent, and travel vendors.
11. Update internal calendar of speaker availability.
12. Communicate accurate information to clients, talent and internal departments. Coordinate any conference calls.
13. Create detailed itineraries for speakers.
14. Create and manage the timeline, program, and task list for all TF private events.
15. Organize and lead collaboration with the Marketing Team on event concept, design/production, and event marketing, as necessary.

Qualifications:
1. 2-4 years in event sourcing and booking for paid speakers.
2. Experience in a Speaker’s bureau a plus.
3. Superior process management skills: exceptional time management and follow-through; experience with deadline-driven projects in a fast-paced environment; attention to detail
4. Ability to juggle multiple tasks and manage competing priorities
5. Strong people skills
6. Available to work occasional off hours or late days pending event needs

Supervision
This position has no supervisory responsibilities. Works closely with and under supervision of Director of Business Development.

Education and/or Experience
BA or equivalent

Language Skills
Proficient English language skills – written and spoken. Able to read and interpret documents, instructions and manuals. Able to write routine reports and correspondence. Able to speak effectively and communicate clearly on the phone, in person and via email with all types of people.

Computer Skills
Proficient knowledge of Microsoft Office applications and Salesforce.

Planning and Organization
Must be organized, punctual and responsible.

Physical Demands
This is sedentary work which requires the following physical activities: reaching, sitting, lifting (≤25 pounds), finger dexterity, grasping, feeling, repetitive motions, talking, hearing and visual acuity.

Work Environment
Well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation.

The office work environment can be boisterous. Attire is business casual.

Travel
Minimal (less than 5%). May be required to travel overnight – by car or air – to support various events sometimes working in excess of eight (8) hours/day.
